24/7 Client Desks · AI Intake · Law Firm Operations

Jay
Nalu

I give small law firms a 24/7 client desk and AI intake that capture and brief every lead — so nothing slips, and your attorneys practice law instead of chasing the phone.

By the Numbers

20+
Years across legal services, business development & operations
8
States — multi-state civil firm operations run as COO
10
Attorneys scaled, managed & supported as COO
6
Production automations built & run 24/7 inside a live firm

The Problem

Most small law firms are running on memory, email, and instinct.

01
No Structured Intake
Calls come in, whoever answers handles it their own way, nothing is tracked, and leads quietly disappear.
02
No CRM Pipeline
Matters move through the firm on memory and sticky notes rather than a system that enforces accountability.
03
Document Bottlenecks
Paralegals spend hours on retainer agreements and demand letters that could be templated and automated.
04
No Financial Visibility
No model connecting matter volume to revenue targets and profit — so the firm runs on gut feel.
05
Two Full-Time Jobs
The managing partner is practicing law and running a business simultaneously — with no operational support.
06
No Growth Roadmap
Expansion decisions — new states, practice areas, legal plan networks — get made reactively, not strategically.

What I Build

Two products that pay for
themselves in one saved lead.

Done-for-you, flat-fee, yours to keep. Installed in about a week. Research shows a first response within five minutes can quadruple conversion — these are what make that your default.

Start Here
Client Desk
A 24/7 "client desk" that replaces your "call us 9–5" contact page: structured intake, consultation booking, secure document upload, encrypted messaging, and an optional live matter tracker that ends the "any update?" calls. Hosted on your own domain. You own it.

From $1,500 flat, one-time

Add the brains
IntakeBrief
AI turns your intake team's raw notes into a structured six-section brief on the client record about sixty seconds after they hit save — issues spotted, urgency flagged, next questions ready. And it refuses a garbage intake instead of inventing one. Works with Clio and HubSpot.

Setup from $1,500 · then $300/mo flat, unlimited seats

Modern Intake Package · Best Value

Client Desk + IntakeBrief, installed together — $2,500 one-time.

One conversation, one install week. Your firm walks away with a 24/7 client desk and an AI brief on every intake — plus the first month included. Then it's just $300/month, flat, for as many users as you have.

Beyond the Software

Need a bigger build?

Most firms are fully served by the two products above. For the few that want deeper infrastructure — a custom automation stack, document-workflow automation, an intake-system overhaul, or ongoing fractional-COO leadership — that's available too, drawn from a decade running law-firm operations. It's hands-on, engagement-priced work, so I take it on selectively. If that's you, let's talk.

Proof of Concept

Built inside a
live law firm.

Every system I bring to your firm has already been built, tested, and refined in production. As COO of a 10-attorney civil practice firm operating across 8 states as a legal-plan network provider, I designed the intake pipeline, the CRM workflows, the co-counsel expansion infrastructure, and the financial models — and engineered the firm's six-automation production stack: scheduled CRM syncs, AI-drafted intake briefs delivered to attorneys before they opened a file, branded end-of-day reports, and self-monitoring watchdogs that flagged failures before any human noticed.

This is not consulting theory. Every one of those systems runs daily, in production, on real intake with real clients — and I'm the one who built them and keeps them running.

I also know where automation doesn't belong. I piloted an AI voice agent for intake and shut it down after five weeks — because real client-experience data beat vendor promises. Humans answer your phones. Automation does the paperwork. That line is the whole philosophy.
